Please read these Booking Conditions carefully prior to booking as by booking with us and paying the required deposit you are deemed to have agreed to these Booking Conditions and your booking has been accepted by Go Nordic tours on this basis. Go Nordic tours is owned and managed by Great Guides Corp.


Reservations:

Early reservations are recommended. Deposits and all payments may be made by check, wire transfer or major credit card. We reserve the right to charge a fee for credit card payments in some cases. We will notify you in advance of the fee and will allow you to pay by check to avoid it.


Quotes:

Any quote, written or oral is based on exchange rates at the time of quotation, is subject to availability at the time a booking request is made and may change without notice, due to exchange rates, fuel surcharges, and other elements beyond our control.


Prices:

Prices are not guaranteed until a deposit has been made to confirm the reservations. All prices are in US Dollars. Go Nordic tours reserves the right to adjust prices due to factors including but not limited to exchange rate fluctuations, taxes, airline surcharges, and other price rises beyond our control. Such adjustments may be made at any time prior to payment in full.


Deposits:

Deposit requirements will vary according to the arrangements. For general arrangements, a non-refundable deposit of 20% of the total cost, but not less than US$300 is required. However, some travel arrangements involving cruise & train or non-refundable services especially over the holidays such as Christmas, New Year, or destinations as Lapland, Faroe Islands, Greenland, might have a different deposit amount depending on the suppliers involved. At the time of quotation and/or booking, you will be advised of the deposit requirements for the booking. Once a booking is confirmed all deposit payments become non-refundable and non-transferable.


Exceptions:

Some services such as Airfare, Visas, non-refundable booking components, require full payment for their procurement.


Final paymant:

Final payments for most arrangements are due, a minimum of 90 days prior to the date of the start of your Travel arrangements. Certain travel arrangements and destinations require a different timetable for final payment of which you will be advised at the time of quotation and/or booking.
For bookings made less than 90 days prior to the start of arrangements, full payment may be required before any booking will be made. Delay or Non-payment by due dates may result in the cancellation of arrangements & loss of money already paid.


Amendments/changes:

Should a change be requested by you after the booking has been confirmed, it may result in additional charges depending upon any other fees/charges imposed upon Go Nordic tours by suppliers and third parties. If a client chooses to make changes to the travel arrangements made by Go Nordic tours while on their trip, there will be no refunds for unused portions or no shows.


Cancellation or amendments by suppliers or in other circumstances:

If we have to change your booking, or part of it, for reasons beyond our control, (including but not limited too if an airline changes its schedules, a natural disaster or political crisis occurs, a hotelier overbooks hotel accommodation, or an operator cancels a tour), we will notify you and we will endeavor to provide alternative arrangements of the same standard as that originally booked. If the change or changes result in the booking costing more, or otherwise being materially different from that contemplated prior to the change or changes being effected, and in respect of which we have already accepted a deposit or balance of payment, you have the right to ask for a re-arrangement and money already paid will be refunded, less any charges levied by our suppliers or third parties. This excludes all taxes or fuel surcharges incurred by our supplier/s until the tour/cruise commencement date.


Cancellations & refunds:

All cancellations must be made in writing and must be sent by email. The date of cancellation shall be the date when written notice is received by Go Nordic tours. If some or all portions of the booking are canceled, fees will be computed as of the date when we receive your cancellation notice and will apply as follows:


General bookings:
  • 90 days or more prior to the date of start of Travel arrangements: Loss of full deposit
  • 45 – 90 days prior to the date of start of Travel arrangements: Loss of 50 % of the amount paid
  • Less than 45 days prior to the date of start of Travel arrangements: Loss of 100% of the amount paid

Airline Tickets: $50 administrative fee per ticket in addition to airline penalties.
Cruises: under $1400 are non-refundable with 90 days.
Visas: non–refundable at any time
Train-Tickets: non-refundable once issued.
Service Fees: are non-refundable at any time but can be applied towards booking
Museums, Performances Tickets: non-refundable once issued.

Note:
  • In order to avoid misunderstandings, clients are informed about any cancellation and/or change fees applicable to their travel program at the time of booking.
  • If using a credit card as a form of payment refund due on the canceled booking will be less merchant credit card fees incurred by us when charging the credit card.
  • Independent or Tailor-Made Travel: Includes any of our unescorted itineraries, overnight ferries, as well as any related special independent or custom arrangements.

Travel documentation:

Travel documents are sent out approximately 4 weeks prior to the starting date of the arrangements. However, some documents are only made available to us 2 weeks prior to the starting date of those arrangements and accordingly can only be sent upon receipt. Documentation will not be sent until payment in full has been received.
Most of our travel documents, including hotel and tour vouchers, are electronic and can be delivered via email. In case of any Paper tickets and other required travel documents will be delivered by FedEx Saver mail at our expense, unless other delivery terms are requested and agreed to be paid by the customer. Visas and passports will be delivered at the customer’s expense and the preferred shipping method.
Go Nordic tours is not responsible for lost or stolen documents; therefore, any re-issuance of documents may be assessed their full-face value and may include an increase in cost. A special handling fee of US$25 will be assessed for bookings that require overnight express delivery.


Unused services:

Once the travel has begun, a refund will not be given for any service or accommodation not used by the traveler due to late arrival, early departure, or by choice. This includes the failure of any transportation to operate as scheduled, or weather conditions being such that activities cannot take place.


Traveller assistance:

Should a problem occur with your arrangements just before you arrive (such as delayed arrival due to missed flights, illness, etc.) or once the arrangements have started, it is essential, particularly having regard to the differences in time zones between the USA and your destination, that you try and resolve any problems immediately, with the local provider. Your documentation will detail the emergency contact details for that provider/s. Many problems can be rectified on the spot if you are able to communicate your concerns. If you fail to take such steps locally any claim to compensation may be reduced or denied. If you have any unresolved complaint this must be sent to Go Nordic tours in writing together with any supporting documentation, within 10 days of the date of the service. No claim made after this period will be considered.


Necessary other documentation:

Passport and visa requirements are the traveler’s responsibility. Travelers are also responsible for all exit, entry, re-entry, health and other documents required by law, regulations, orders, demands, or requirements of the countries visited, transited, or returned to. Each person must carry a valid passport (with at least six months validity remaining, from the date of the return date to their country of residence) at all times. Go Nordic tours cannot accept responsibility for the traveler s failure to ensure that they have correct travel information. See www.travel.state.gov for further information.


Hotels:

If a hotel nominated is unavailable at the time of booking, the booking will be made in an alternative hotel of equivalent standard. Prices are based on standard, lead-in accommodation. The mention of hotel facilities such as gyms, pool, parking, etc. does not imply that the use of such facilities is without cost to the traveler and such costs must be paid locally by the traveler.


Bedding configuration:

The term Double/Twin Room usually refers to a room with 2 single beds either pushed together for a Double Room or kept apart for a Twin Room. A Triple Room is a Double/Twin Room with an extra bed, usually being a sofa bed or rollaway bed, and accordingly may be cramped. Some hotels offer Triple Rooms only when the 3rd person is a child and Triple Rooms where offered are always subject to request.


Traval insurance:

We recommend that you purchase a travel protection plan to help protect you and your travel investment against the unexpected. Travel protection plans can include coverage for Trip Cancellation, Trip Interruption, Emergency Medical, and Emergency Evacuation/Repatriation, Trip Delay, Baggage Delay and more. Ask your booking agent for a travel insurance quote.


Weather conditions and natural phenomena:

We cannot guarantee the appearance or quality of weather conditions and natural phenomena described in the brochure, including but not limited to the Northern Lights, the Midnight Sun, snow, ice, waterfalls, geysers, and thermal pools and no refund will be given to any traveler due to the non-appearance or quality of same.


Not included in prices:

All items not marked as Inclusions. Also, airfares unless otherwise stated, visa and passport costs, travel insurance, vaccination, and medical expenses, excess baggage, airport departure taxes, local government taxes and charges such as bed tax and city tax, laundry, postage, phone calls, fax/email charges, beverages, all items of a personal nature.


Invoice errors or omissions:

Go Nordic tours reserves the right to correct any errors in rates quoted or calculated for any service, notwithstanding that the invoice may have been paid in full.


Limited liability:

The responsibility of Go Nordic tours herein called ‘the company’ is strictly limited. Although the company is the principal and takes due care in choosing suppliers, it cannot control them and therefore cannot be responsible for their acts or omissions. All travel services are subject to conditions imposed by these suppliers, who may limit their liability by tariffs, contracts, and international agreements. The company acts only as agents for the passengers regarding hotels and transportation, whether rail, motorcoach, private car, boat/ship, aircraft, or any other conveyance, sightseeing, and other services, and as such, assume no liability for injury, damage, disappointment, distress or frustration, whether physical or mental. Through the act or default of any company or person engaged in conveying the passenger or in the result of acts of God, dangers incident to the sea, earthquakes or tremors, volcanic eruptions, fire, breakdown of the machinery or equipment, acts of Government or other authorities, de jure or de facto, wars (whether declared or not), hostilities, bombs, civil disturbances, strikes, riots, thefts, pilferage, epidemics, quarantines, medical or customs regulations, or from any cause beyond the Company control, or from any loss or damage resulting from improper passport, visa or other documents. Nor shall any carrier have to incur liability as a common carrier. The company can accept no responsibility for loss for additional expenses, due to schedule delay or changes, your failure to follow instructions, including but not limited to, check-in and check-out times and baggage handling. The right is reserved to accept or retain any person as a member of any tour or to change or withdraw the tour as circumstances demand. The tour operator reserves the right to change or re-schedule any tour departure in accordance with airline operating requirements. All rates are based on tariffs in effect at the time the tour was planned, and are subjected to change in the event of adjustment therein. The issuance of tickets and vouchers shall be deemed to be consent to the above conditions.

Go Nordic tours reserve the right to substitute both trip leaders and hotels from those listed, as well as reverse the order of places to be visited and make reasonable changes in the itinerary where deemed advisable for the comfort and wellbeing of the passengers. Go Nordic tours reserves the right to take photos of any of its trips and may use this material for advertising purposes.
